The inbox sets the agenda.
Urgent-looking messages, follow-ups, and status checks decide where your attention goes.
Time & opportunity assessment
PraxisFTW Level-Up Workflow Assessment
When your inbox, invoicing, follow-up, scheduling, and routine admin keep pulling you back in, the cost is bigger than the task. It is attention unavailable for decisions, relationships, growth, and expansion.
We find where your time is going, what that lost opportunity may be costing, and the simplest way to give more of it back. We start with the tools you already own. Automation and AI are options, not default answers.
No passwords. No obligation. No pressure to buy more software.
01 · The real problem
Owners and executives rarely lose their best hours in one big failure. They lose them in the steady pull of small, repeated work: chasing an answer, checking the inbox again, approving an invoice, copying a detail, fixing an avoidable error, or becoming the person every routine question returns to.
That is opportunity cost. When high-value attention is consumed by administrative overhead, it is not available to lead the business, serve key customers, make better decisions, or create the next opportunity.
01
Urgent-looking messages, follow-ups, and status checks decide where your attention goes.
02
Invoices, approvals, details, and handoffs become the after-hours work nobody planned.
03
Important relationships, decisions, and growth work lose to routine questions and next steps.
04
Useful features, templates, reminders, and automations are not aligned to how work actually moves.
02 · What you receive
You get an Assessment Findings Report and a high-level Opportunity Blueprint. It shows where your time is being consumed, what that lost opportunity may be costing, and the practical route to reclaiming higher-value capacity.
A clear view of where attention enters the work, gets pulled into routine steps, and becomes the bottleneck.
The repeat work, waits, handoff gaps, unclear ownership, and rework competing with higher-value attention.
Process improvements, current-tool capabilities, automation, or AI recommendations only where each earns its place.
A high-level outline of the approach, tools, owners, dependencies, and practical sequence. It is not a build specification.
03 · The LEVEL Method
THE LEVEL-UP WORKFLOW ASSESSMENT
LEVEL is the framework behind the assessment. It keeps the work grounded in actual priorities: first find where attention gets consumed, then remove what should not happen, get more from the tools you own, and only then consider automation or AI where the case is clear.
Locate
Agree the outcome, people, volume, triggers, and boundaries for the connected work pulling you away from the business.
Expose
Follow a recent example and find waiting, duplicate entry, repeat questions, rework, and the moments higher-value attention gets diverted.
Validate
Use your time, volume, cost, and tool facts to build a credible capacity and opportunity-cost estimate.
Evaluate
Remove steps first. Improve the current process and tools next. Use automation or AI only when it earns its place.
Lay out
Document the approach, tools, owner, timing, dependencies, and the practical route to reclaiming higher-value capacity.
04 · How it works
01
Bring the recurring work pulling the most attention from your business. We will tell you plainly whether the assessment is the right next step.
Free · No obligation
02
A short form captures the time drains, tools involved, and facts needed to make the walkthrough useful. No passwords are requested.
Focused inputs, clear boundary
03
You show us selected examples of how the work is done in your current software. We observe the work without unrestricted access.
See the work, not just the story
04
Within five business days of complete inputs, we send the Findings Report and Opportunity Blueprint before the findings briefing.
Recommendation, not implementation
Note: The five-business-day clock begins after the pre-work, Zoom walkthrough, and agreed factual inputs are complete. If something material is missing or changes, PraxisFTW will tell you rather than guess.
05 · Time-value check
Four hours a week is roughly 17.3 hours a month and 208 hours a year. That is not automatically cash savings. The bigger question is what you, or a key executive, could do with that time when it is no longer consumed by routine work.
During the assessment, the opportunity model uses your time, volume, cost, and current-tool inputs. It is a planning view of opportunity cost, not an ROI promise.
Illustrative annual time value
$31,200
4 hours per week × 52 weeks × your hourly value
Planning view only. Redirected time is not automatically cash savings, revenue, payroll reduction, or payback. The assessment accounts for actual work, adoption, review time, upkeep, and costs before a recommendation is made.
Need a starting point? Use a conservative replacement value: annual fully loaded compensation or replacement cost ÷ 2,080 hours. Do not use company revenue divided by hours or personal tax deductions. For growth time, use a conservative estimate of incremental gross profit, not revenue.
06 · A fair first engagement
If, after reviewing the agreed assessment area and the complete inputs you provide, PraxisFTW cannot identify and document at least four credible hours per week you could redirect to higher-value work, we will make it right or refund your $999 assessment fee.
The opportunity must be tied to the agreed assessment area and supported by documented facts and disclosed assumptions. It accounts for adoption, human review, and ongoing upkeep. This is a promise about the rigor of the assessment, not a promise of payroll savings, revenue, profit, ROI, or results without action and adoption.
07 · Clear scope
What counts as an assessment area?
PraxisFTW agrees the assessment area on the fit call. It may include up to three connected recurring workflows that create the same drain on owner or executive attention.
For example, PraxisFTW can assess the workflow around HR or staffing. It does not provide HR, legal, or compliance advice.
08 · Straight answers
Good fit matters more than forcing an assessment on work that is not costing enough high-value time.
We identify the recurring work pulling the most attention from the business, get a rough sense of frequency and effort, and decide whether this fixed-scope assessment makes sense. It is a fit call, not a free consulting session.
No. AI is one tool in the tool chest, not the product. We first consider removing unnecessary work, simplifying the process, and getting more from the software you already own. We recommend automation or AI only when it has a clear job to do.
It means credible weekly time you could redirect from routine work toward higher-value leadership, customer, decision, or growth work. It is supported by disclosed facts and assumptions across the agreed assessment area. It does not promise cash savings, payroll reduction, revenue, ROI, or a result without action and adoption.
You, or the person who performs the work, can screen share selected examples of how the task happens in the current software. We observe the process and look for routine steps, handoffs, and underused tool capabilities. It is an assessment walkthrough, not implementation or unrestricted system access.
No passwords or unrestricted access are required. We work from the minimum information needed to understand where time and attention are being consumed. A selected screen share and sanitized examples are preferred whenever possible.
The fixed fee covers one agreed assessment area, up to three connected workflows, one walkthrough, an Assessment Findings Report, an Opportunity Blueprint, and one findings briefing. Implementation, integrations, migrations, custom builds, procurement, training, ongoing advisory, security, legal, tax, compliance, and unrelated operational areas are separate scopes.
Yes. You own the Assessment Findings Report and Opportunity Blueprint. You can use them internally, choose another provider, or take no action. The assessment includes recommendations and a high-level route forward, not an automatic implementation commitment.
